Privacy Policy
How we look after your personal information and respect your privacy.
This policy explains what personal information The Choir Press collects through this website, how we use it, who we share it with, and the rights you have. We are committed to protecting your privacy and handling your information openly and honestly.
Last updated: September 2026.
Who we are
The Choir Press is a trading name of Action Publishing Technology Limited, a company registered in England & Wales (company number 1602223), whose registered office is at 132 Bristol Road, Gloucester, GL1 5SR. We are the “data controller” responsible for your personal information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
For any question about this policy or your information, contact us at enquiries@thechoirpress.co.uk or on 01452 500016.
The information we collect
We only collect what we need to respond to you and provide our publishing services:
- Enquiry details — when you use a form on this site (the quote form, the contact form or the footer message form) we collect your name and email address, and, if you choose to provide them, your phone number, the type of book you’re publishing and the contents of your message.
- Correspondence — if you email, call or write to us, we keep a record of that correspondence so we can help you.
- Customer records — if you go on to publish a book with us, we hold the information needed to carry out and account for that work.
- Technical information — like most websites, our hosting provider automatically records limited technical data (such as IP address and browser type) in server logs, which is used to keep the site secure and running.
We do not use this website to collect special category data, and we do not knowingly collect information from children.
How and why we use your information
We use your information for the following purposes and on the following legal bases:
- To respond to your enquiry and prepare a quote — on the basis of our legitimate interests in answering people who contact us, and to take steps at your request before entering into a contract.
- To provide our publishing and printing services — where you become a customer, to perform our contract with you.
- To keep records required by law — for example accounting and tax records, to comply with our legal obligations.
- To keep the website secure — on the basis of our legitimate interests in protecting our site and preventing misuse.
We do not use your information for advertising, and we never sell your personal information to anyone.
Who we share it with
We share your information only where necessary, with:
- Service providers who help us run the business — for example our website hosting and infrastructure provider, and the email or enquiry-handling tools we use to receive and respond to your message. These providers act on our instructions and are not permitted to use your information for their own purposes.
- Suppliers involved in producing your book — such as printers and distribution partners, where this is needed to fulfil an order you have placed.
- Authorities or advisers — where we are required to by law, or to establish, exercise or defend legal claims.
Storage and international transfers
Your information is stored on secure systems. Some of our service providers may process data on servers outside the UK; where they do, we rely on appropriate safeguards (such as UK “adequacy” regulations or standard contractual clauses) so that your information continues to be protected to UK standards.
How long we keep it
We keep enquiry information for as long as needed to deal with your enquiry and for a reasonable period afterwards in case you get back in touch, and then delete it. Where you become a customer, we keep the records we need for the duration of our relationship and for as long afterwards as the law requires (for example, financial records are generally kept for six years). We regularly review the information we hold and remove what we no longer need.
Cookies and this website
This website is designed to respect your privacy and uses as little of your information as possible:
- No advertising, analytics or tracking cookies. We do not track you around the web and we do not build a profile of you.
- One strictly necessary cookie. A single secure cookie (
cp_admin) is used only when a member of our staff logs in to the private admin area, to keep them signed in. It is never set for ordinary visitors and is not used to track anyone. Because it is strictly necessary, it does not require consent, which is why this site does not show a cookie banner. - Fonts are served from our own website, so viewing our pages does not send your details to any font provider.
- Map. Our Contact page shows a map provided by OpenStreetMap. When that page loads, your browser contacts OpenStreetMap to fetch the map; OpenStreetMap’s own privacy policy applies to that. The “Get directions” link opens Google Maps only if you choose to click it.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information, or to restrict or object to how we use it;
- ask us to transfer your information to another provider, where applicable;
- withdraw any consent you have given, at any time.
To exercise any of these rights, please contact us at enquiries@thechoirpress.co.uk. We will respond within one month. There is normally no charge.
Complaints
If you have a concern about how we handle your information, please tell us first so we can put it right. You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. Any changes will be posted on this page with a revised “last updated” date.
